Writing a Letter of Support

A letter of support (LOS) for a grant is a document written by an individual or organization to express their endorsement, approval, or commitment to a project or proposal seeking funding, strengthening the grant application by demonstrating credibility, collaboration, and community involvement. 

General Letter of Support 

Although grant applications will typically require a LOS from either the President or Provost, it will, at times, be appropriate for other entities to write the LOS. For example, you might require a recommendation from a faculty member or a partnering community organization. In those cases, ensure that the letter is written to include the following elements. 

  • Introduction

Include a brief description of the project or individual you are supporting and your relationship to the entity. Mention how long a relationship has existed and address the specific grant and candidate that you are supporting. 

  • Statement of Support

Make a statement to directly support the commitment, objective, or mission of the organization and grant objective. Read through the application that you are writing the LOI for and tailor the verbiage so that it aligns with the application. 

  • Supporting Anecdotes

Share one detailed personal anecdote that clearly demonstrates the grant candidate's passion and efficacy in their work. Try to ensure that the anecdote somehow ties into the goals outlaid in the purpose of the grant. Point out things like the candidates, drive, track record for success, and their unique ability to be successful if awarded the grant when compared to other candidates. The more specific the examples, the better. 

  • Closing Statement 

Reinforce the applicant's proficiency and integrity. Concisely demonstrate that those qualities align with the criteria for funding, resource allocation, and mention how the candidate is well equipped to address future needs. Communicate your unwavering belief in the candidate and extend an invitation for the prospective funder to reach out to you should they require any further conversation or inquiry. 

  • Signature

Include your name, job title, and contact information below.  

Presidential Letter of Support

At Michigan Tech, it is common to obtain a LOS from the President's Office. Please follow the procedure below if you require a Presidential LOS. Note that unauthorized requests made to the President's Office without requesting approval from the Director for Foundation Relations will be denied. 

  • One Month Prior to Grant Submission

Request LOI. If you have not already discussed the grant with the DFR, include the narrative, budget, and any other justification details for the grant to inform your request. 

  • DFR Submits Request to the President's Office for LOS

Typically, your request will be reviewed and passed along within one week of your initial contact with the Foundation Relations Office. 

  • Receive LOS Approval & Presidential Signature 

You will receive the signed LOS via communication from the DFR once the President's Office has had ample time to review. If the process requires further communication to demystify portions of the supporting documents, you will be asked to meet with the DFR.
